About the role

The Inbound Representative will help to liaise with our international guests, including Spanish, German and other language-speaking clients in the South Thailand area. The successful candidate will be required to visit the clients at their hotels or in the destination to share all important information and ensure the clients have a comfortable stay. This role is based in our South Thailand branch.

Responsibilities
  • Visit clients, groups and VIP guests at their hotels in Phuket;
  • Handle any urgent situations as they arise, such as last minute bookings, arranging transfers, confirming flight and hotel details etc.;
  • Coordinate and confirm all information between Inbound Booking Staff and the Operations Team, such as itineraries, amendments, pick up times, transfers etc.;
  • Assist with resolving complaints together with branch offices in Thailand;
  • Translate documents, support the work of colleagues in our Regional Office and perform office duties as requested by the Manager;
  • Promote Asian Trails’ products, excursions/tours and optional sales in destination;
  • This role reports directly to South Branch Manager.
Qualifications
  • Diploma or above in Tourism Management or related disciplines;
  • Good geographical knowledge of key tourist destinations within South-East Asia;
  • Must be service-minded and driven;
  • Fluent in written and spoken English, Spanish and German – other languages are an advantage;
  • Good customer service background;
  • Confident, friendly, outgoing and approachable;
  • Good problem solver with the ability to use initiative;
  • Able to work independently as well as part of a team;
  • Highly proficient in PC skills such as Word, Excel, PowerPoint.

  • Minimum 5 years’ experience in a management position in the tourism industry is a prerequisite;
  • Native speaking/fluent command of verbal and written French and English is essential; other languages are a plus;
  • Working experience in the travel & tourism industry in Thailand is a must;
  • Good command of Microsoft Office applications and excellent computing skills;
  • Open for some travel within Thailand and abroad;
  • Have capability in developing standards, quality management, coordination and coaching techniques;
  • Able to work under pressure, meet tight deadlines and work flexible hours during peak season;
  • A “Can Do” attitude, positive mindset and creative thinking;

About the role

The Inbound Officer is responsible for arranging every aspect of a client’s travel programme. Reporting directly to the Inbound Manager, you will be involved in communicating with clients, identifying their needs and providing professional travel advice.

Responsibilities
  • Create quotations, follow up regularly with clients and keep files up to date in the system
  • Confirm bookings with clients if a request is materialised
  • Provide clients with up-to-date tour options, including sustainable tours and current travel information
  • Negotiate with suppliers and identify potential new suppliers for travel products and services
  • Ensure all services are booked with local suppliers and hotels
  • Issue pro-forma invoices for bookings that are confirmed and coordinate with the accounting department regarding payment
  • Follow up and stay informed of guests that are in the country, from arrival to departure
  • Handle and respond to comments and complaints (if any)
  • Regularly update the status of bookings (request, option, confirmed, cancelled)
  • Check costs for all bookings when requested by the Accounting Department
  • Follow the company’s standard operating procedures in all situations
  • Stay informed about tourism-related issues in the destination
  • Other duties as requested by management
Qualifications
  • University degree in tourism, business administration or foreign languages
  • Sound understanding of the travel industry; previous work experience at another DMC is an advantage
  • Understand market trends and segments
  • Fluent in English communication, both verbal and written; command of another language such as French, German or Spanish is a plus
  • Strong computing skills, including use of MS Office programmes
  • Excellent interpersonal and presentation skills
  • Proactive and organised
  • Willingness to travel on occasion, including to some remote areas of the country
